How should a Wisconsin gift shop handle sales tax on shipping?

Wisconsin ties the taxability of shipping to the taxability of the product. If the item you’re shipping is subject to sales tax, the shipping charge is also subject to sales tax. If the item is exempt, the shipping is exempt. For a gift shop selling candles, home decor, jewelry, clothing, and similar merchandise, practically everything is taxable, which means practically all of your shipping charges will be taxable too.

The one situation that gets a little more involved is mixed orders. If a customer buys $75 worth of taxable gift items and $25 worth of nontaxable food products in the same order, Wisconsin requires you to allocate the shipping charge proportionally. In that example, 75% of the shipping charge would be taxable. The good news is that QuickBooks Online and most POS systems like Shopify and Square handle this split automatically when your tax settings are configured correctly.

Where retail shops run into problems is with online orders. If you’re selling through Etsy, Shopify, or your own website, make sure the platform’s tax settings reflect Wisconsin’s rule on shipping. Most major platforms get this right by default, but it’s worth verifying with a test order. Create a sample transaction with a taxable item and a shipping charge, then confirm that tax calculates on both the product and the shipping line. If you’re manually creating invoices in QuickBooks for shipped orders, double check that your sales tax configuration includes shipping as a taxable charge when attached to taxable products.

For most gift shops, this isn’t something you need to think about on every transaction. Once the system is set up properly, it handles the math. The real risk is not checking the setup in the first place and then under-collecting tax for months or years before catching it during a filing or audit.

If you’re not sure your systems are calculating shipping tax correctly, it’s a quick fix now but a painful one later. Rock Steady Bookkeeping can review your sales tax configuration and make sure your filings match what Wisconsin expects, so you’re not surprised by a balance due down the road.
