How often should I reconcile my bank accounts in QuickBooks?

Once a month, right after your bank statement closes. That is the standard and it works for a reason. Your bank statement covers a set period, and reconciling at the close of that period lets you confirm that every transaction in QuickBooks matches what the bank actually processed. Do it promptly while the month is still fresh in your mind.

Reconciliation means comparing your QuickBooks register to your bank statement line by line and making sure they agree. The ending balance in QuickBooks should match the ending balance on your statement once you account for outstanding checks and deposits in transit. If the numbers don’t match, something is off and you need to find it. That could be a duplicate entry, a missing transaction, a categorization mistake, or in some cases an unauthorized charge you would have otherwise missed.

The reason monthly works better than quarterly or “whenever I get around to it” is simple. When you reconcile 30 days of transactions, you might have 50 to 200 items to check depending on your business. That is manageable. When you let three or six months pile up, you are now sorting through hundreds or thousands of transactions and trying to remember details from months ago. Errors compound too. A mistake in March throws off April, which throws off May, and suddenly you are spending hours untangling something that would have taken five minutes to fix in real time.

Clean reconciliations also mean your financial reports are trustworthy. Your profit and loss statement, your balance sheet, your cash flow numbers are all only as reliable as the data behind them. If your bank accounts are not reconciled, those reports could be showing you incorrect numbers. Making business decisions based on unreconciled books is guessing with extra steps.

For businesses with high transaction volume like restaurants or retail shops, some owners prefer to spot-check weekly and do the formal reconciliation monthly. That is fine as an extra layer of review but does not replace the monthly reconciliation against the closed statement.
